Assistant Coordinator – Canadian Red Cross

JOB SUMMARY
Reporting to the Supervisor, Operations, Volunteer Resource Services, the Assistant Coordinator, VRS will provide surge support to the VRS team in the coordination of: recruitment, selection, placement, mobilization and orientation of volunteers.

RESPONSIBILITIES MAY INCLUDE
Recruitment, Selection, Placement, Orientation:
Coordinates the recruitment of volunteers as requested
Manages and tracks necessary documentation for all volunteer applicants
Provides customer support to volunteer applicants throughout their application process
Arranges and conducts pre-screening interviews
Coordinates program interviews
Completes reference checks on candidates
Coordinates and tracks completion of required orientation for volunteer candidates
Coordinates and tracks completion of required policy and procedure review/sign off by volunteer candidates
Coordinates and tracks required checks and certifications for volunteer candidates
Coordinates all volunteers’ change of status
Escalates issues/concerns for follow up

Disaster Reponse:
Participates in the rotating “On Call” process
In times of active disaster, may be called upon to fill roles within the people services emergency response structure, and may require deployment away from home for periods of several weeks
Ensures own understanding and familiarity with emergency response systems, structures and tools
Supports the recruitment and engagement of a pool of people services volunteers
Other:
Integrates volunteer personnel within the scope of responsibilities
Participates in departmental planning as required
Contributes to a healthy and safe working environment
Performs other duties as required

QUALIFICATIONS
Education and Experience
Post secondary education (Human Resources/Volunteer Resources or other related discipline) and/or 1-2 years of proven HR/VR coordination experience
Experience with handling confidential information
Experience providing customer service to internal and external customers, including meeting quality standards for services
Knowledge
Knowledge of Volunteer Resources Management Cycle is an asset

Excellent interpersonal and communication skills, both written and verbal
Confidence to deal with a variety of customers
Effective problem solving skills
Proven ability to multi-task in a fast-paced environment
Computer literate, MS Office Suite and databases
Some positions will require bilingual capacity (English/French)
Strong presentation skills
Strong time management and prioritization skills
Flexibility, initiative, professionalism and independence

WORKING CONDITIONS
Work is mostly performed in an office environment as part of a virtual team
Ability to work non-traditional and longer hours often on short notice especially during times of emergency response
Travel may be required, including deployment to difficult/restricted locations. Field missions can involve working in environments that are unstable and with unpredictable access to basic services in emergency contexts’
