Executive Assistant to the Chief / Communications Liaison – Tsawwassen First Nation – Delta, BC

Tsawwassen First Nation (TFN) is a proud Coast Salish nation with our land base situated in Tsawwassen, B.C. In 2009, the Tsawwassen First Nation Final Agreement came into effect – this treaty was the first modern urban treaty in BC and the first treaty to be successfully negotiated through the BC Treaty Commission process. The Treaty provides us municipal, provincial and federal types of jurisdiction over a land base of 724 hectares.

Tsawwassen First Nation also became a full member of Metro Vancouver, the first First Nation to do so.  We are now going through a period of revival and renewal as we plan our future and seek opportunities to sustain our growth physically, economically and culturally, for present and future generations.

TFN is a rapidly growing urban community with an exciting opportunity for an experienced Executive Assistant who has a communications background. This position is responsible for assisting in the development of strategy and providing support to the Chief and TFN Government for public affairs including, media, communications, and government relations that will build and maintain strong relationships.

This position is also responsible for assisting and providing administrative support to the Tsawwassen First Nation (TFN) Chief in all aspects of the efficient management and operation of the Chief’s daily activities.

Specific Responsibilities

Coordinate, schedule and organize meetings on site or off site
Make travel arrangements for Chief, as required
Word process reports, letters, newsletters, and other documents and correspondence
Draft letters and memoranda
Compile and maintain all correspondence and documents for the Chief through routing and filing
Maintain confidentiality of all records and files, unless release of specific information is authorized by the Chief
On behalf of the Chief, liaise, and represent as required, with TFN Membership, staff, Council, various levels of government, industry, stakeholders and the community at large as necessary and required, in person, verbal or written form
Assist Chief in prioritizing commitments
Act as the first point of contact for individuals wanting to meet with the Chief
Produce communication materials related to the communications strategy
Coordinate projects, and events in partnership with various levels of government, industry and other organizations
As requested, organize intergovernmental events
Facilitate effective media relations by:
Assisting in the development of media strategy and providing delivery
Acting as the first point of contact for all media inquiries and arranging interviews under deadlines
Writing, distributing and coordinating media advisories, releases and statements
Facilitate effective external communications by:
Assisting in the development of communications strategy and provide delivery
Coordinating/project managing projects and announcements
Coordinating promotional activities and budget
Facilitate effective government relations by:
Assisting in the development of government relation strategy and delivery
Liaising with government partners on TFN initiatives
Review presentations for meetings, workshops and conferences to ensure they are well written and visually appealing
Create power point presentations for use by the Chief in public appearances
Follow up on daily requests and inquiries on behalf of the Chief

Qualifications

Post-secondary education in a related field such as business administration, public relations or communications, or equivalent combination of education and experience
2 years experience as an Executive Assistant preferred
Must demonstrate a high degree of professionalism and good judgment
Able to operate effectively and show initiative in an environment where there is minimal supervision
Able to maintain confidentiality of information and use discretion when addressing sensitive issues
Experience working with First Nations required
Must demonstrate appreciation and respect for culture and diversity
Must possess strong command of the English language in both written and oral form
Proficient in the use of the Microsoft Office suite
Able to type at least 50 wpm
Ability to work outside of normal office hours including some overtime and travel
Must be exceptionally organized and have a solid understanding of filing systems
Must be a team player
Must have a valid Class 5 BC Drivers’ License and use of reliable personal vehicle
Must provide a clean Drivers’ Abstract.
