Scheduler – Canadian Red Cross – Ontario

RESPONSIBILITIES
Extended Hours Service Coordination:
Provides client/CSW service coordination daily during extended hours of 12:00–8:00 PM.
Receives notification from CSWs/Clients of factors affecting re-assignment of clients.
Assesses availability and appropriateness of CSWs for routine assignment according to local requirements, policies and procedures and the collective agreement (where applicable).
Reports any unresolved service coordination difficulties to immediate Supervisor/Manager as appropriate.

Information Management:
Enters all relevant client, CSW and volunteer information (both live and recorded) into the Client Information Management System (CIMS).
Enters service hours and adjustments to the system for both the client and CSW or volunteer.
Verifies integrity of data and makes corrections as necessary.
Records all communications and consequent actions in appropriate fields/locations.

Customer Service:
Communicates regularly with clients/caregivers, CSWs, volunteers and various departments (i.e. Accounting, Human Resources, Information Technology)
Provides reports to appropriate professionals regarding client, CSW and volunteer status.
Provides support and general direction to CSWs and volunteers as appropriate.
Receives concerns from clients, CSWs and volunteers with regards to scheduling practices and re-directs to appropriate professional.
Documents all communications and subsequent actions in appropriate field/location within CIMS.
Contributes to a healthy and safe working environment.
Performs other duties as required.

QUALIFICATIONS
The minimum qualifications for this job are one to two (1-2) years of postsecondary education and one to three (1-3) years of job-related work experience, or an equivalent combination of education and experience. Other knowledge, skills and assets include:
Excellent verbal and written communication skills.
Customer Service experience is an asset.
Ability to multi-task and prioritize work flow.
Experience in a fast-paced and team oriented environment.
Knowledge of medical terminology is an asset.
Ability to work non-traditional hours (1200-2000)

WORKING CONDITIONS
The work is performed in an office environment that is clean and comfortable, located at the Sault Ste. Marie branch. Hours of service are based on 35-hour work weeks, Monday to Friday, 12:00 – 8:00 PM.
