Administrative and Resource Development Coordinator – MiningWatch Canada – Ottawa, Ontario

MiningWatch Canada is a coalition of twenty-eight environmental, social justice, Aboriginal and labour organizations that works to support communities affected by mining, do research on issues pertaining to mining, environment, and health, and advocate for accountable mining practices. Our mandate extends to mining in Canada and by Canadian mining companies operating internationally.

MiningWatch Canada has a small staff team with a shared management model and no clerical or secretarial support; such tasks are shared by all staff.

As indicated in the job title, the successful candidate will be responsible for coordinating MiningWatch’s administration and fundraising.

Resource development and financial management

Take the lead within the management team to develop a financial plan for the organization that will support the strategic plan and is adaptable to available resources and potentially available resources;
Research potential funding sources and coordinate the development of relations with new donors;
Coordinate the development of funding proposals to existing and potential institutional donors (foundations, NGOs, etc.); and develop a first draft when there is relevant material available;
Manage fundraising software Sumac to meet the needs of MiningWatch and sister organization, the Canary Research Institute for Mining, Health and Environment (a registered charity in Canada, http://www.canaryinstitute.ca), and use it to effectively carry out individual donor relations (bi-annual donor/direct-mail appeal, issuing of receipts/letters of acknowledgement, building the donor base) and other mailouts (such as the newsletter);
Develop and monitor the annual budget for MiningWatch and Canary;
Work with the accountant to prepare financial reports/projections for the Board of Directors, for staff meetings, for funders and for others (as required), and to prepare for the annual audit.

Administrative and organizational coordination

Ensure that human resources administration, insurance agreements, government deductions, WSIB are properly maintained;
Manage communications and accounts with suppliers, insurers and service providers;
Ensure invoices and payments are made in a timely manner and allocated to proper accounts;
Review expense claims to ensure accuracy and adequate proof of costs;
Ensure that contract obligations are met, including results and financial reporting, government reporting;
Take the lead on the scheduling of staff processes including weekly staff meetings, annual evaluations, yearly planning sessions;
Work with other staff on conferences, workshops.

Work with the Board of Directors

Take the lead on communications with the Board of Directors (except where other staff have been appointed as committee representatives);
Organize Board meetings (face-to-face meetings twice a year, teleconference calls approximately 5 times a year) – logistics, preparation of agendas and documentation, minutes;
Coordinate the Annual General Meeting – logistics, ensuring memberships are renewed and members notified of the meeting, documentation prepared, minutes recorded and follow-up completed.

Tasks shared equally with other staff

Decision-making arising from budgeting and workplanning,
Office duties (telephone and general correspondence) and chairing/taking minutes of staff meetings,
Participation in Board meetings,
Monthly staff activity reports,
Maintaining the office, including purchase of office supplies and ensuring that equipment is functioning.

Requirements

Demonstrated commitment to/interest in social and environmental justice, human and aboriginal rights, and labour issues; agreement with the mandate and philosophy of MiningWatch Canada;
Relevant post-secondary education;
Three to five years work experience, preferably with non-governmental organizations;
Demonstrated experience in building relations with funding agencies and writing successful grant proposals;
Proven administrative and financial management skills, preferably from experience working in the non-profit sector;
Good knowledge of the appropriate computer programs – including excel, database programs such as Sumac; and
Demonstrated ability to work independently and as part of a team;
Permission to work in Canada.

Ability to communicate in French and Spanish is an asset.
