Job Posting: Treatment/Financial Coordinator

The Dental Centre, Summerside, Prince Edward Island, was established in 1962 to provide dental services for the people of the greater Summerside area and beyond. We have highly trained operators and staff who maintain and upgrade their skills through continuing dental education.

Posting Type:  Full Time term Contract (1 year with possibility of renewal)
Language: English Essential, French an asset
Hours of Work: 4 to 5 days a week from 7:30 a.m. to 5:00 p.m. Rotating Friday schedule.
Salary: Starting salary: $18 to $22 per hour

Benefits: Dental benefits package, 10 paid days off for statutory holidays, 3 weeks paid vacation (6%), unpaid leave time available under certain conditions.

Job Purpose:

To participate in the planning and delivery of dental care to meet individual patient needs by working cooperatively with dental service providers and insurance companies to help patients meet their dental service needs.

Qualifications:

Post-secondary diploma in business- college or university level
Minimum of 5 years’ experience in a medical, dental or financial administration position (banking, office administration -private sector)
Experience in taking payments, setting up payment plans, accounts receivable, making deposits, on line banking, monitoring payments and transactions with insurance companies, all within a networked and dental care software environment (Will train on dental scheduling and patient management software)
Proficient in using a computer and working within a networked environment: email, internet, e-deposits and banking, Excel and Word.  Previous experience with a multi-line telephone system
Ability to function in a fast-paced environment for scheduling patients and managing their treatment and payment plans
Shows initiative and good judgement in dealing with accounts, payments and insurance companies
High regard for confidentiality and caring for patients
Ability to accept responsibility and perform in an “in charge” capacity
Ability to communicate effectively and pleasantly with patients, families, public, staff and dentists in order to develop positive working relationships
Willingness to adhere to departmental/corporate policies and procedures
Ability to attend work on a regular basis
Ability to perform the duties of the position
Good work record
Written and spoken competence in English and spoken competence in French is an asset
Enthusiasm for sales and marketing

Key Responsibilities:

Patients/Treatment

Must be available to work at 7:30 every morning.
Greets and processes new patients using The Dental Centre new patient protocol (Will train)
Communicates and consults with dentists, patients, insurance companies and other members of the team professionally.  Works within a three person administrative team at the front desk of the clinic
Answers all incoming calls in coordination with administrative team at the front desk for scheduling purposes
Prepares treatment plans according to protocol and in coordination with staff and dentists (Will train)
Assists in patient education so that patients understand and engage in treatment plan (Will train)

Financial Coordination:

Collects and processes payments
Management of Accounts Receivables
Balances cash and bank transactions at the end of the day and generates reports. Manages own cash drawer
Management of transactions and information sharing between patients and insurance companies (Will train)
Prepares and sends out account statements
Prepares and submits regular financial and treatment reports to Practice Manager and dentists (Will train)

Communications/Professionalism:

Participates in educational activities and programs for patients and staff and maintains knowledge of current dental practice through internal and external educational programs
Serves on committees when and as requested
Attends staff meetings regularly
Complies with policies and procedures
Communicates/explains dental polices to patients and families as required
Helps team members to provide a comfortable, orderly, clean and safe environment for patients and staff
Other occasional duties, as required
