Administrative / Communications Assistant – Ecosource – Mississauga, Ontario

Ecosource is seeking an Administrative and Communications Assistant

Full-time, 35hrs per week, February to December 2016 with possible extension

Who we are: Ecosource is an innovative environmental organization that empowers the community to become more environmentally responsible through creative public education. We specialize in hands-on programming that aims to increase environmental sustainability in Peel Region and beyond.

The Position: Ecosource is seeking an enthusiastic, creative, organized and detail-oriented Administrative and Communications Assistant. You will provide administrative support to the Executive Director and actively support Ecosource’s communications and fundraising efforts. You are highly organized, enjoy a fast-paced and innovative nonprofit office environment, have superior design computer technology skills and have a strong interest in messaging to our donors and program participants through web site dialogue, social networking and production of an annual report. This position provides the heartbeat to our busy organization and requires a positive, organized and forward thinking individual who will take initiative.

Responsibilities:

Provides administrative support to the Executive Director and the Ecosource office through:

Working closely with the Executive Director to prepare documents, correspondence and background materials for meetings and events, including creating summary reports and presentation materials as needed
Scheduling and coordinating appointments and meetings for Executive Director
Maintaining oversight of office needs, including management of service relationships, file management through Microsoft Sharepoint, invoice management, tracking and ordering of office supplies, acting as liaison with our office facilities manager and IT support team
Assisting with tracking of invoices and financial reports and filing of supporting documents
Perform such other duties as may from time to time be required to assure a smooth operation of the organization.

Coordinates Public Relations and Communications activities through:

Overseeing development, creation and distribution of annual report and supporting program materials
Updating and maintaining relevant areas of website, social media and e-newsletters
Ensuring high quality photography and filming are used for program support
Maintaining distribution lists for public relations materials and maintaining media contact lists

Assist with fundraising activities through:

Research to discover new funding opportunities and maintenance of fundraising opportunity list
Maintaining donor list and maintaining relationships with those donors through email and mail contact

Qualifications:

Successful completion of a post-secondary degree in communications, business administration, or related field
Must have 3 years or more of administrative experience, and experience in the nonprofit sector
Must have superior abilities in Microsoft Office skills including Sharepoint, PowerPoint, Word, Outlook and Excel
Superior visual communications skills including design ability and experience producing print communication materials and using Adobe Photoshop, Illustrator and InDesign as well as photography and videography skills
Experience with website design, HTML and WordPress for website updating, experience with social media and e-newsletter platforms such Facebook, Twitter, Tweetdeck, MailChimp
Experience with nonprofit fundraising is a definite asset
Superior written communication skills, and strong research and report writing skills
Able to work independently and take initiative, problem solve, and work as part of a team
An engaging and mature personality to interact with Ecosource donors and attend public-facing events and show a commitment to our mission
Excellent attention to detail, oral communication, time management and organizational skills
Sound judgment, tact and ability to maintain confidentiality
French language ability is a definite asset
A sense of humour is an asset!

Deadline for applications is Friday, January 15, 2016. Salary for this full-time position is $40,000 annually for a 35 hour work week, with vacation annually. This position starts February 2016 and ends December 2016 with possible extension through additional funds raised. Desired position start date is early February 2016.
