Executive Assistant – Chicken Farmers of Nova Scotia – Kentville

 General Accountability
The Executive Assistant is responsible for supporting the efficient and effective operation of the General Manager’s office.  While reporting directly to the General Manager, the Executive Assistant also provides assistance to the Operations Manager, contributing to the overall professional and organized operation of the office.

Specific Responsibilities
The following outlines the primary functions and responsibilities for the Executive Assistant:

General Manager:

Provide executive level administrative support
Conduct research and compile data
Arrange meetings and prepare materials for Board and Committee meetings
Record, transcribe and distribute minutes of meetings
Prepare and edit correspondence, communications and other documents
Manage the ongoing review of Board policies
Provide administrative support to Chicken Producers Association of Nova Scotia
Maintain records and prepare for Annual General and Special producer meetings

Operations Manager:

Assist in the administration of producer licensing
Produce bi-monthly newsletter
Manage and maintain organization’s website and social media presence
Attend promotional events on behalf of the organization
Make travel arrangements for Directors and staff
Prepare and submit travel expense reimbursement claims

General:

Order office supplies, ensuring proper supplies are stocked and readily available
Order and maintain inventory of promotional items
Data entry
Answer and manage incoming calls
Other general administrative duties as assigned

Required Skills, Experience and Qualifications

Post-secondary education in administration, or a relevant combination of education and experience
Three to five years of experience in an administrative support role
Strong problem-solving and analytical ability, capable of learning quickly
Highly organized, with excellent time management skills
Good judgement and decision making ability
Outstanding attention to detail and accuracy
Professional verbal and written communication skills
High level of proficiency with Microsoft Office tools, including Word, Excel and Outlook
Ability to exercise independent judgement and initiative
Proven experience with minute taking and writing is highly recommended

Salary: Commensurate with qualifications and experience.

Hours of Work:  Full time – Monday to Friday – 8:30 am to 4:30 pm
