Job Description:

The Office Manager is responsible for fulfilling HUB’s administrative and organizational requirements, which are key contribution areas as HUB grows in size and focus. The Office Manager provides assistance as needed to the Executive Director, Bookkeeper, and other staff, as well as the Board of Directors and other volunteers. As the first line of contact for HUB Cycling, the Office Manager helps us communicate and engage others about our programs, events, action work, and membership.

Responsibilities:

General office administration
Management of inquiries by phone, email and in person
Registration for HUB Cycling programs
Preparation of invoices, monitoring invoicing payments, basic preparations for the bookkeeper
Website content updating
Organization of surface mail
Membership and volunteer coordination assistance
Support for membership processing and events
Organization, inventory and ordering of information resources (eg: maps, brochures)
Office operations, organization and tidiness

Required Qualifications:

Self-starter, able to take initiative and deliver on time
Skilled at multi-tasking and time management
Able to work independently and collaborate with others
Proven verbal and written communication skills
Adept with word-processing, spreadsheets, PDF, email, basic website updating
Flexibility and excellent interpersonal skills

Beneficial Assets:

Basic knowledge of Accounts Receivable, Accounts Payable and CRM
Experience working with non-profit organizations and board of directors
Familiarity with HUB Cycling and its programs
Interest in this role for the long term

Terms:

24 hours per week. Hourly rate: $18-20 ($22,464-$24,960 annually) commensurate with skills and experience. Start date: early May. This is a permanent employee position with two weeks paid vacation, plus the week of Christmas off paid each year. Health and dental benefits are provided. The employee will work from the HUB office from 10:00-4:00 Monday-Thursday, with opportunity for adjustment of working hours within business hours of 9:00-5:00 upon request and agreement with the employer.
